Not the tray that failed. The thing that cost you money.

For most operations at this size, the honest list looks like this. An order got filled from memory and was short by two clamshells. An invoice sat unsent for eleven days. The new harvester cut a tray that was promised to a wholesale account because it was the biggest one on the rack. Somebody drove past a stop twice. A humidity spike on Tuesday night showed up as mould on Friday and nobody connected the two.

Count how many of those a better tray tracker would have prevented. The answer is usually none of them. That is the whole point of this page.

The five things that break above 200 trays

1. Everything lives in one head

This is the real ceiling, and it arrives before the rack space does. If the production plan, the client preferences and the delivery route exist only in the owner's memory, then hiring somebody is not a relief, it is a second full-time job of explaining.

Ask the diagnostic question honestly: if you were unreachable for a week, what would actually stop? If the answer is "everything", you do not have a labour problem, you have a documentation problem wearing a labour problem's clothes.

Grower includes 2 team members. Pro includes 10. Seats sound like a billing detail until the first hire, at which point they are the entire difference between delegating and narrating.

2. Orders are not connected to production

At 40 trays you know what every tray is for. At 400 you do not, and neither does anyone else, so trays get cut in the wrong order and shortages surface on delivery morning.

What fixes it is a link in the data: this recurring order is filled by these plantings. Then a struggling tray raises a commercial flag days before harvest, while there is still time to sow again or make a call. Recurring orders, client records and order management start on Grower at $12.99 a month, which carries 50 clients and 200 orders a month.

3. Invoicing lags the delivery

Late invoices are not a tidiness problem, they are a cash-flow problem with a delay fuse. Wholesale buyers pay on cycles, so an invoice sent eleven days late does not arrive eleven days late, it arrives a whole cycle late.

Grown Like A Pro generates the invoice from the order that was actually delivered and syncs it to QuickBooks Online, on Grower and Pro. The step it removes is the one growers dread and therefore postpone: re-typing six lines you already had.

4. The route is driven from memory

Eight to ten stops is where a route ordered by habit starts costing an hour a week in doubling back, and where handing the driving to someone else stops being realistic. GPS delivery route optimization is on Pro at $19.99. The value is less about fuel and more about the route existing outside your head, which is what lets a second person do it.

5. Nobody is watching the room overnight

Bluetooth temperature and humidity sensors are on Grower and Pro, logging against the trays that were in the room at the time. That last clause is what makes the data worth having. A humidity spike on Tuesday means nothing on its own. It means a great deal when it lines up with the three trays that came out mouldy on Friday. Light intensity is measured in PPFD, so "the light is probably fine" becomes a number.

The tray cap math, including where we lose

Monthly price on its own is a poor comparison between ladders with different caps. Here is capacity per dollar alongside plain outlay, because both matter and they do not point the same way.

Where they win, plainly. Between roughly 200 and 1,000 active trays, their Pro at $19.95 for 1,000 trays is about $0.020 per tray of capacity against $0.065 on our Grower. If capacity per dollar is your only measure, they are ahead across that whole stretch and you should know that before you read anything else here. Our Grower is cheaper on plain monthly outlay at 200 trays, $12.99 against $19.95. Both sentences are true. Pick the one that matches how you actually buy software.

Where the ladders separate. At 2,500 trays their Scale is $39.95 and our Pro is $19.99 with no cap. Above 2,500 their published ladder becomes a conversation and ours does not change. If you are planning a second room, that is worth knowing before you pick a tool you will migrate off.

What Pro includes at $19.99

Concretely, since "unlimited" on its own is a marketing word.

Three limits worth stating rather than burying. Glappy, the in-app AI assistant, is capped at 100 questions a day on Pro, 30 on Grower and 10 on Solo. It is not unlimited on any plan. There is a native Android app on Google Play plus the web app, and no iOS app yet, since it is in App Store review. And our crop library is 68 microgreen crop profiles, which is smaller than Microgreen Tracker's published 80 crops and 284 varieties, so if you grow something unusual, check their list first.

The migration question nobody asks until it hurts

Before you commit at this size, ask a different question than the feature list invites.

What happens to two years of production history if I need to leave?

CSV export is on Solo, Grower and Pro in Grown Like A Pro, and on every paid tier with Microgreen Tracker. Check it works before you need it. A commercial operation's yield history, cost per tray and client purchase records are the most valuable data the business produces, and the moment to discover you cannot get them out is not the moment you want to leave.

Who this is not for

If you are running 60 trays with no employees and no wholesale accounts, Pro is money you do not need to spend. Grower at $12.99 covers 200 active trays, 50 clients and the full selling toolkit. Solo at $3.00 covers 25 trays and is a growing app rather than a selling one. The Free plan covers 8 trays and 8 sprout jars with no card and no expiry.

Buy the tier that matches the thing that is currently breaking. Buying ahead of the break is how software ends up unused and resented.

How many team members can use microgreen farm software?

Team seats matter more than growers expect, because the first hire is usually a harvester or a driver, and both need to see the schedule without the owner reading it to them over the phone. A farm where the production plan exists only in the owner's head has a hard ceiling on hiring, regardless of how much rack space it has.

At what tray count does a microgreen farm need real software?

There is no universal number, but the pattern is consistent: the break is caused by the second person and the first standing order, not by tray count on its own. A single grower with 300 trays of one variety on one rotation copes fine with a whiteboard. A grower with 80 trays across nine varieties, five wholesale accounts and a part-time employee usually does not. Count commitments and people, not trays.

Can one account manage multiple microgreen farm sites?

Multi-farm management is on the Pro plan at $19.99 a month, with no cap on the number of farms. Each site keeps its own racks, trays and production schedule while clients, orders and reporting stay consolidated, which is the arrangement most second-site operators want: separate production, one commercial view. The Free, Solo and Grower plans are single-farm.

The bottom line

The tray cap is the number on the pricing page, and it is almost never the number that decides whether the software works for you. Team seats, order-to-tray links, invoicing that lands in your accounting system and a route somebody else can drive are what a commercial operation actually runs on.
